Step 1: Under 'People' in the left sidebar, click 'Create New' and select 'User'

Step 2: Enter the contact details

When filling out the contact details, please note the fields marked with an * are mandatory. If the company or office is not shown in the drop down list, you can add a new one by selecting the '+' button, entering the relevant details and clicking 'Create'.

Step 3: Click 'Create'

Select 'View User and Manage Permissions' to set up restricted access.

Alternatively, if you are adding multiple users at once, you can click 'Create Another User' and set up user permissions later. You may also 'Send User Activation Email' although we would recommend doing this after setting up user permissions!

Step 4: Set external user permissions

Under 'Account Expiry', select the date you would like the account to expire. If you would not like to set an account expiry date, click 'Never'.

Under 'Role Preset', select 'Standard External User' from the drop-down list.

Click the 'Market Access' tab to add any asset(s) you would like the external user to have access to. Under 'Market Fund Access', simple type the name of the fund(s) you wish to grant access to and select the '+' option to add it.

Click the 'Managed Access' tab to add any fund(s) you would like the external user to have access to. Under 'Managed Fund Access', simple type the name of the asset(s) you wish to grant access to and select the '+' option to add it.

To restrict access to assets in specific countries within that fund, simply click the down arrow on the relevant fund and tick the desired countries.

If you would like to modify the default settings for external users (e.g. add the ability to edit) please see 'Modify Default Permissions' below.

Step 5: Send activation email

Return to the User Details tab and under 'Activation Email Status' click 'Send'. This will automatically send an activation email to your new user. The link in this email will then allow your new user to activate their account.

Step 6: Click 'Save'

Your new external user has now been created! 🎉

Modify Default Permissions

General access

To modify whether the user can see internal files, all actions and internal notes, click 'General Access' on the top menu and tick the relevant boxes.

Market access

External users are only able to download market asset models by default. If there are any further permissions you wish to grant, please click the 'Market Access' on the top menu and tick the relevant boxes under 'Permissions'.

Managed access

Permission to edit assets and funds is restricted for external users by default. If you wish to allow the external user to edit, please tick the desired boxes under 'Permissions'

People access

Permission to view and edit people is restricted for external users by default. If you wish to allow the external user to view people, click the 'People Access' tab on the top menu and select 'View all People' from the drop-down list. You can then modify editing permissions by ticking the desired boxes

N.B. We would advise against allowing editing permissions for external users!
